Promotion of Access to Information

FHLM International treats the Promotion of Access to Information and POPIA not as once-off obligations, but as ongoing commitments. We regularly review our policies, update our manuals, and train staff and volunteers so that compliance stays current with changing laws and best practices. Making information available is more than ticking a legal box — it reflects our values of honesty, openness, and service. In this way, access to information is not only protected but actively encouraged, helping to build trust with our community and those we serve.

Faith, Hope & Love Ministries (FHLM) NPC (also known as FHLM International, Reg. No. 2025/038188/08) is committed to transparency, accountability, and the lawful handling of information. This page explains how to access records we hold, in line with the Promotion of Access to Information Act, 2000 (PAIA) and in harmony with POPIA.

For FHLM International, compliance with the Promotion of Access to Information and POPIA is more than a legal obligation. It is part of our mission to serve with integrity, ensure accountability, and create a safe environment for learning and ministry. By making information available, we help people make informed decisions, safeguard their personal rights, and strengthen trust between FHLM and the wider community.

3) How to request access to other records (using Form 2)

If you require information not automatically available, you must complete Form 2 of Annexure A to the PAIA Regulations (2021) and submit it by email to legal@fhlm.org

Your request must include:

  • Your full name and contact details
  • A clear description of the record(s) requested
  • The preferred format for access (e.g., PDF, plain text)
  • Enough detail to help us identify the record and assess the request

We will acknowledge receipt and respond within 30 days as required by PAIA. If access is refused, we’ll provide written reasons as set out in the Act.

4) POPIA – Data Subject Rights

Under POPIA, you have the right to:

  • Access your personal information we hold
  • Request corrections or deletion of inaccurate or outdated information
  • Object to processing, including for direct marketing
  • Withdraw consent where processing is based on consent
  • Lodge complaints with the Information Regulator

5) Grounds for refusal (summary)

We may refuse access where required by law, including:

  • Protection of third-party confidential information
  • Protection of personal information (POPIA)
  • Records that could compromise safety or security
  • Privileged legal documents

6) Fees

There is no fee for electronic access to documents already public.
Where a request imposes a material administrative burden (e.g., collation, scanning, or large volumes), a reasonable fee may apply. We will inform you before processing.
